The AI receptionist for moving companies

Updated , by the MoverPhone team

The short answer

An AI receptionist for moving companies is a voice agent that answers every call to your business number, day or night. It asks the questions your estimators need (move date, origin, destination, home size, special items), books the in-home or virtual estimate on your calendar and pushes the lead into your moving CRM. Callers get no hold music and no "press 1".

Moving is a phone business. A customer planning a move usually calls three or four companies, and the first one that answers, sounds competent and gets an estimate on the calendar tends to win the job. Your phones ring hardest at the exact moment nobody can answer them: when crews are loading trucks, when the owner is on a walkthrough, on Saturdays in June, and at 8pm after the customer gets home from work.

An AI receptionist answers every one of those calls the way your best office person would.

What an AI receptionist does on a moving call

The MoverPhone AI receptionist is trained on your business. It knows your services, service area, crew rates, minimums, storage options and calendar. A typical inbound call goes like this:

  1. Answers on the first ring, in your company’s name, 24 hours a day. There’s no phone menu and no hold queue.
  2. Works out what the caller needs. It separates a new move from an existing customer checking a delivery window, a claim, a job applicant or a vendor, and routes each one correctly.
  3. Qualifies the move: move date and flexibility, origin and destination, home size and floor, elevator or stairs, special items (piano, safe, pool table), packing, storage, and how they heard about you.
  4. Books the estimate on your calendar. That can be an in-home survey, a virtual walkthrough or a callback from an estimator, using the slots and rules you set.
  5. Confirms by text with the date, time and what to have ready.
  6. Logs everything in your CRM with a transcript, a summary and a lead score, so your estimator walks into the survey already knowing the job.

When a caller wants a person, the AI transfers the call live. When it’s an emergency on move day (“the truck isn’t here”), it escalates straight to dispatch.

Why movers lose jobs on the phone

Most moving companies don’t have a lead problem. They have an answering problem. The calls arrive, but:

  • Peak season swamps the office. Household moves cluster between May and September, and that’s exactly when the office is also scheduling crews, handling claims and chasing payments.
  • After-hours calls go to voicemail. People research moves in the evening and on weekends, and few leave a message. They call the next company on the list.
  • Callbacks are slow. Research published in Harvard Business Review (“The Short Life of Online Sales Leads”, 2011) found that firms that contacted a lead within an hour were nearly seven times as likely to qualify it as firms that waited even one hour longer. Moving shoppers are no different, and the estimate usually goes to whoever books first.
  • Lead vendors sell the same lead to several movers. If you buy shared leads, the first company to reach the customer has a large advantage.

An AI receptionist removes the first two problems completely. Paired with an outbound dialer, it also fixes the third and fourth.

AI receptionist vs answering service vs in-house receptionist

Live answering services bill in different ways. As of October 2026, Smith.ai’s AI receptionist bills per call: a $0 plan includes 25 calls a month, then $3.00 a call, with lower per-call rates on higher tiers. Generic AI receptionists such as Trillet start at $49 a month for 150 voice minutes. These can work well for answering. None of them works your outbound lead list. We compare these options in detail on our moving company answering service page.

What makes MoverPhone different from a generic AI receptionist

Generic AI receptionists are built for dentists, plumbers and law firms, then given a “moving” template. MoverPhone is built only for movers, and it covers both directions of the phone:

  • Mover-specific intake. It knows the difference between a local hourly move and a long-distance move priced by weight or cubic feet. It knows why stairs, long carries and shuttles matter, and what a “not-to-exceed” estimate is.
  • Inbound and outbound in one system. The same platform runs a power and parallel dialer that calls back web leads and works moving-prospect lists. Your reps aren’t juggling a separate dialer, a receptionist service and a data vendor.
  • Moving CRM integrations. Leads, transcripts and booked estimates sync to SmartMoving, Supermove, MoveBoard, Elromco, Movegistics or HubSpot.
  • Missed-call text back. If a call drops or a caller hangs up before the AI answers, MoverPhone texts them right away to restart the conversation.
  • Every call transcribed and scored, including the calls your reps take, so you can see which lead sources produce booked jobs.

What it costs

MoverPhone plans start at $99 per user a month (Starter). Starter includes 180 AI agent minutes, unlimited phone minutes, two phone numbers and one inbound AI assistant. Scale ($299 per user a month) adds 1,500 AI minutes per user, parallel dialing up to 2x, local presence and two-way CRM sync. Pro ($499 per user a month) is for high-volume outbound teams, with dialing up to 4x and 10,000 AI minutes per user. See full pricing.

A rough way to size the value: count the calls you missed last month. Your phone provider’s call log will show unanswered and after-hours calls. Multiply that by your booking rate and your average job value. For most movers, recovering two or three jobs a month covers the cost several times over.

How to set it up

  1. Book a demo and tell us your services, service area and CRM.
  2. We build your assistant: greeting, intake questions, rates you’re comfortable quoting, booking rules and transfer rules.
  3. You test it by calling it yourself and with your team, and we tune the wording.
  4. Forward your main line, or start with after-hours and overflow only.
  5. Review transcripts weekly for the first month. Most movers adjust two or three answers and then leave it alone.

Who it’s a fit for

  • Owner-operators with one to five trucks who are on jobs all day and lose calls to voicemail.
  • Growing local movers whose office can’t keep up in peak season.
  • Long-distance and interstate movers who need detailed inventory intake before a survey.
  • Multi-location and franchise operators who want consistent call handling across locations.

If your main problem is calling leads back rather than answering calls, start with our auto dialer for moving companies. Most movers end up using both.

Frequently asked questions

Will callers know they are talking to AI?

Many won't notice, because the voice is natural and it answers instantly. MoverPhone still recommends saying so at the start of the call ("You've reached Acme Moving's virtual assistant"). It builds trust and keeps you on the right side of state disclosure rules.

Can the AI give a price on the phone?

It can give ranges you approve, such as your hourly rate for a two-person crew or a typical range for a two-bedroom local move. It hands binding or not-to-exceed estimates to your estimator, because those depend on an inventory and a survey.

What happens when a caller asks for a person?

The AI transfers the call live to the rep or dispatcher you choose. If nobody picks up, it takes a detailed message and texts it to the team, so a callback happens within minutes.

Does it work with my moving CRM?

Yes. MoverPhone integrates with SmartMoving, Supermove, MoveBoard, Elromco, Movegistics and HubSpot. New leads, call summaries and booked estimates land in the CRM without retyping.

How long does setup take?

Most moving companies go live in a few days. We load your services, service area, rates, calendar and handoff rules, then you test it with your own calls before forwarding your main line.

Can I keep my existing phone number?

Yes. You can forward your current number to MoverPhone, or port it over completely.
