Answering services for moving companies, compared

Updated , by the MoverPhone team

The short answer

A moving company answering service picks up calls you can't, such as after hours, during peak season and while crews are on jobs. It captures the lead so you don't lose the move. You can choose a live call center, an AI receptionist or a hybrid. For most movers, an AI receptionist trained on your rates and calendar books more estimates for less money, because it answers instantly and writes straight to your moving CRM.

Every moving company eventually has the same realization: the phone rings most when nobody can answer it. Crews are loading, the owner is on a walkthrough, the office manager is on another line with a claim, and the customer comparing four movers hangs up and calls the next one.

An answering service closes that gap. The question is which kind.

The three types of answering service for movers

1. Live answering service (call center)

A team of human agents answers your calls from a shared call center, using a script you provide. National providers such as Ruby, Smith.ai’s live tier and MAP Communications fall in this group.

  • Good at: sounding human, handling unusual callers, empathy on difficult calls.
  • Weak at: knowing your rates, service area and crew availability. Agents work across hundreds of businesses, so they mostly take messages. Costs rise with call volume, which hurts in peak season.

2. AI receptionist

A voice AI trained on your business answers every call instantly and can handle any number of calls at once. It follows your intake script exactly, books on your calendar and logs to your CRM. MoverPhone, Smith.ai’s AI receptionist, Trillet, Dialzara and Upfirst are examples. Some moving CRMs, such as Elromco, now offer an AI receptionist inside their own software.

  • Good at: speed, consistency, 24/7 coverage, booking, structured data in the CRM, and cost at volume.
  • Weak at: the rare caller who insists on a human. That’s why transfer rules matter.

3. Hybrid

AI answers first, and a live agent or your own staff takes over for complex calls. This is increasingly the default. MoverPhone transfers to your own team, so the person who takes over actually knows your business.

How to choose: five questions to ask any provider

  1. Does it book, or only take messages? A message is a callback you still have to win. Booking straight onto your calendar is the difference between an answering service and a lead-capture system.
  2. What does peak season cost? Model June and July, not February. Per-call and per-minute pricing can double your bill in the months you most need coverage.
  3. Will it write to my CRM? If your team retypes every message into SmartMoving or Supermove, you’ll lose leads in the gap.
  4. What happens when someone wants a person? You want a live transfer to your own team, with a fallback that texts the details if nobody answers.
  5. Can it also call leads back? Web leads from your site, Google Local Services Ads and lead vendors need a fast callback. A service that only answers inbound covers half the problem.

What to put in your script

Whatever service you pick, give it a moving-specific script. These are the fields your estimator actually needs:

  • Name, mobile number, email
  • Move date, and whether it’s flexible
  • Origin and destination (ZIP is enough to start)
  • Home type and size (studio, 2BR apartment, 4BR house), floor, elevator or stairs
  • Special items: piano, gun safe, pool table, artwork, appliances
  • Packing, storage, junk removal or a donation run
  • How they found you (this matters for your marketing spend)
  • Preferred estimate type: in-home, virtual or phone

Close every call with a booked next step: an estimate time, a callback time or a texted quote link. Avoid “someone will call you back”.

When an answering service isn’t enough

If you buy leads from vendors, run Google Ads or get form fills from your website, the bigger leak is often outbound. Those leads need a call within minutes, several times, at different times of day. That’s a dialer’s job, not an answering service’s. MoverPhone combines both: the AI receptionist answers inbound calls, and the parallel dialer works every web lead and prospect list. Together they make one phone system built for movers.

Frequently asked questions

How much does an answering service for movers cost?

Live answering services usually bill per call or per minute, so the cost rises in peak season when you need them most. AI receptionists often charge a flat monthly fee or per call. As of October 2026, Smith.ai's AI receptionist starts at $0 a month for 25 calls and $3.00 a call after that, Trillet starts at $49 a month for 150 minutes, and MoverPhone starts at $99 per user a month, with outbound dialing on higher plans.

Should a moving company use an answering service only after hours?

After hours is the easiest place to start, but most lost calls happen during the day, when the office is on another line or the owner is on a job. Overflow coverage, where the service answers whenever nobody picks up within a few rings, usually recovers more jobs than after-hours coverage alone.

Can an answering service book estimates?

Good ones can. Ask whether the service books directly into your calendar or CRM, or only takes a message. A message still has to be called back, and that's where shared leads are lost.

What should a moving answering service ask callers?

At minimum, the caller's name, phone and email, the move date, origin and destination ZIP codes, home size, stairs or elevator, special items, and whether they need packing or storage. Those answers are enough to book the right kind of estimate.

Is an AI answering service good enough for moving customers?

For intake and booking, yes. Modern voice AI handles natural conversation and follows your rules consistently. Keep a human transfer path for upset customers, claims and complex commercial moves.

Stop sending moves to voicemail.
